Is your business an unhappy subscriber to the Outgrown Sage Line 50 Club?

  • Have your transactions ground to a halt due to Sage Line 50 hitting the limit of the number of records it can store?

So what is the solution, as no action is a damaging and costly option?

Historically Sage would have marketed Sage Line 100 as the natural upgrade but this product no longer exists. The original Line 100 (a rebadged of the old Sovereign product which in turn was a new name for the acquired Sky software product) was withdrawn due to its age. It’s proposed successor (based on a SQL Server database) was embarrassingly abandoned by Sage in 2010 whilst still in development.

So, the only option within the Sage family is to leapfrog to Sage Line 200 that is an expensive upgrade to a product that is lacking in core features needed by today’s UK SME.

Understandably many companies are leaving Sage at this point in their growth and joining us here at Lakeview to take advantage of feature rich ERP software based on the latest technology at a more affordable price which scales way beyond Line 200 to companies with annual revenues in excess of £100m and many hundreds of thousands of transactions each year.

Ernst & Young have published a positive report on how the growth in the BRIC economies will benefit UK businesses (BRIC being Brazil, Russia, India, China.)

One of the key considerations for UK SME’s looking to export their products to these countries is their ability to be able to easily do business from finance and IT perspective.

Key considerations need to be the ability to deal with currencies and fluctuation in exchange rates, to be able to transact online or via electronic data interchange, to enable agents or sales people in these countries to be able to readily access your systems and ultimately to be able to track delivery of goods and payments.

This reinforces the need to review your IT and systems infrastructure together with your business processes to ensure that you effectively exploit these new markets for your products and be the supplier of choice.

Get off my Cloud : Your intro to Cloud Computing

On a more sobering and technical note you may wondering what is meant by Cloud Computing and SaaS (Software as a Service) hence the real reason for this blog topic.

Cloud Computing is an on demand access to shared servers, software and data using the Internet. The user accesses the cloud using any type of device (PC, Laptop, Smart Phone, iPad) that runs any type of web browser.

The Cloud is meant to represent the concept that the user does not need to know anything of the computing infrastructure he or she is using and that it just sits within a cloud somewhere out there. It is often depicted, as a drawing of a cloud inside which is a network of linked servers much like drawings of telephone networks or electricity grids.

The Cloud can also be seen to represent an alleged infinite capacity of computing resources available for all to use. The cloud can even be a private Cloud (at a cost) hence the cry of ‘get off of my Cloud’!

There are many types of applications for cloud computing from backups, data storage and email systems through to full-blown ERP systems such as Lakeview’s LV product. In theory all business and personal systems could be delivered to you via the cloud.

In reality there are of course still companies that you contract with for these delivered services via the cloud as the latter is after all a different route to market for the products and services already on offer pre Cloud.

The way these Cloud application services, known as SaaS (Software as a Service) or ‘Software on Demand’, are delivered via a subscription from the service provider.

So, what are the pros and cons for your business potentially moving to a cloud computing model?


Pros

Cost reduction: This is the key benefit in that there is no longer any need for in house IT hardware or technical expertise.

Scalable: Will grow with your business (although you will pay more.)

Green: Companies sharing global data centres within the cloud should reduce green footprints.


Cons

Risk: Single point of failure with one supplier for all IT needs with limited negotiating power, control and costly to revert back in-house.

Privacy: Handing confidential business data over to a third party.

Performance: Many software applications are slower and less reliable as they weren’t designed for cloud deployment.

Summary

If your business is an early adopter, and prepared to take a considered risk for a cost saving, then the Cloud and SaaS are worthy of consideration.

For the remaining majority of pragmatic, conservative and technology laggard businesses then best to maintain status quo and keep your server and data sat safely within your four business walls (five counting your firewall)

Doves Farm Foods recognised a need for a modern, integrated management information system which combined a comprehensive accounting package with full stock traceability ..

Wiltshire-based Doves Farm Foods is a specialist supplier of organic, fair trade and gluten-free flour and foods to both the retail and wholesale markets. For more than 20 years the company had relied on a basic book-keeping package, which had proved increasingly inadequate in meeting the needs of a successful, growing business.

Since installing a Lakeview system in 2004, Doves Farm Foods has doubled its turnover, without the need to increase its finance team. At the same time, the Lakeview solution’s manufacturing functionality has enabled the company to fully comply with the latest EU food regulations.

Challenge

“We recognised the need for a modern, integrated management information system which combined a comprehensive accounting package with full stock traceability,” says director of finance, Malcolm Squires. “At the same time, it needed to be able to scale with the growth aspirations of the business.”

Having looked at several options – and visited two existing Lakeview food industry customers – Doves Farm Foods found that Lakeview was the only provider who could satisfactorily meet both requirements.

“As a supplier of food ingredients and finished products, full stock traceability – from receipt of each ingredient, through batch manufacture to final distribution to the end-customer – was especially important,” he confirms.

Solution

The decision to go with Lakeview in mid-2004 proved especially timely as, within six months of installation, full traceability became obligatory under new EU legislation.

With implementation taking place at the end of the company’s financial year, Doves Farm Foods switched over to Lakeview without parallel running with the existing system.

“However, we did some testing off-line as the annual accounts were being completed and the Lakeview system proved flawless in delivering accurate financial results.”

Other departments have also benefited from Lakeview’s expanded reporting functionality. The ability to analyse sales and profitability by individual customer, product and product group has improved marketing and sales planning and pricing strategies. And, with the ability to access and manipulate data over any specified period, this has automated the process of analysing and reporting government returns on a calendar year basis, saving time and improving accuracy.

Results
In meeting the very specific accounting requirements of the food supply industry, Lakeview’s flexible pricing approach has delivered three further important benefits.

First, Doves Farm Foods’ previous accounting system required discounts to be set up on the system on a product-by-product basis: with Lakeview, by contrast, common discounts can be input by product group. “This was less problematic for large retailers carrying a restricted range,” says Squires, “but Lakeview saves us considerable inputting time in the case of those wholesale customers who take 100 or more of our products.”

Similarly, before implementing Lakeview, agreed pricing could only be set up as ‘list price less discount’, which had become increasingly cumbersome as Dove Farm Foods had moved to a system of net pricing with three quarters of its customers. Lakeview’s ability to price in both formats not only saves time but always presents accounting information in a customer-friendly format.

And, with a support team providing ‘prompt and highly responsive service’, Squires believes that, “Lakeview provides us with a flexible and scalable accounting and manufacturing support tool ideally geared to the needs of our business.”
